Essential Functions and Responsibilities:
:Maintain a strong work ethic with a total commitment to success each and every day.
:The front desk and incoming telephone lines provide a first impression and an ongoing impact on clients and employees perception of the company. It is the responsibility of the receptionists to put the company in a good light both visually and audibly, and to efficiently and calmly handle numerous situations which are perceived as urgent by the caller.
:Establish customer relationships and follow up with customers, as needed.
:Provide Administrative support
:Customer service and collections experience, Help Invoicing / account receivables
:Type correspondence, compile data for expense and statistical reports.
:Establish, develop, maintain and update filing and billing system
:Work closely with the Managers and provide assistance and back up when needed
:Set:up appointments with clients and prospects
:Prepare documents and packages for sales meetings
:Update forms and create/improve procedures
:General office support (copying, sorting mail, prepare sales materials, scanning etc.)
:Learn the business applications and help improve business efficiency
:Maintain the office area to keep it neat and tidy.
:Use various computer applications efficiently. (Outlook, Word, Excel, access, power point, etc.).
:Order and setup lunch for visiting customers, executives and Seminars
:Restock inventory for office, including equipment, supplies and refreshments
:Shipping and Receiving
:Marketing collaterals : Create /Packing /mailings / proof readings etc.
:Communicate with webmaster for website and social media updates.
:Secretarial duties, such as accounting, data entry, billing, inventory, record:keeping, correspondence and sales.
:Perform other duties as assigned.
Education and Experience Requirements:
:Minimum high school diploma or equivalent
:Proficient with computer applications such as Microsoft Word, Excel, Word and PowerPoint
:Maturity and an ability to cope with unexpected circumstances while remaining calm is essential.
