Under the direction of the Director of Association Services, the Meeting Manager assists in all aspects of planning and execution of GAR conferences, meetings and events with emphasis on registration and partnerships. This person will serve as the meeting planner for the Regional AE Conference and the liaison to the GAR Partnership Committee. Excellent customer service and attention to detail is a requirement of the position.

Responsible for attendee registration for Inaugural Conference, Annual Conference, Leadership Development Conference, Regional AE Conference, GREC Annual Conference and other meetings and events as deemed appropriate. This includes on-site registration desk staff management as well as preparing attendee name badges and tickets.
Responsible for managing the GAR Expo including developing and coordinating all solicitations and marketing of the GAR Expo
Responsible for sending contracts to new and renewing GAR Partners
Responsible for overseeing the fulfillment of GAR Partner benefits
Shall serve as the staff liaison for the Partnership Committee
Responsible for Regional AE Conference meeting venue research, negotiation and contracting, budget, logistics, sponsorship sales and service, and on-site meeting management (Per GAR policy, all contracts are subject to review and approval by the GAR Chief Executive Officer.)
Assists with details of the GAR Conferences; including but not limited to, attending meetings with the Director of Association Services and conference venue regarding logistics, conference supply inventories, signage, special dinners when held offsite, etc.
Responsible for audiovisual set up and videoconferencing for all GAR meetings and classes held at the GAR office
Serves as back up to the Leadership Services Coordinator for GAR meeting space food service and meeting room set up
Serves as back up for audiovisual, conference office computer and WiFi Zone set up at GAR conferences
Responsible for venue arrangements and logistics, including RSVP’s, of any special dinners and events being held on the association’s behalf (i.e. Georgia Night Dinner, Summer Executive Dinner, AEI Dinner, Past Presidents Dinner, etc.)
Other duties as directed by the Director of Association Services or CEO

Job Requirements
Meeting Planning experienced preferred
Not-for-profit organization and/or association experience preferred
Associate degree or 5-7 years equivalent work experience required
CMP preferred
Demonstrates excellent collaboration skills, a solution-based attitude, and the ability to work with people with diverse skills and backgrounds
Actively listens, requests clarification when needed
Consistent willingness to go above and beyond for project deliverables, as well as one’s own development
Exceptional attention to detail and excellent organization skills
Excellent communication skills, including writing, proof reading skills, and speaking
Ability to manage multiple projects and work assignments simultaneously
Excellent interpersonal skills both in person and by phone, with high professionalism
Ability to accomplish projects with little supervision
Outstanding customer service ethic and high expectations for quality
Proficient using Microsoft Outlook, Word, Excel, PowerPoint. Database and project management software experience is helpful.
Able to travel – 1 week in February, 4 days in July, 1 week in September, and 2 days in October
