ESSENTIAL PURPOSE OF THIS POSITION: This position will provide direct support to the President & CEO. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. ESSENTIAL DUTIES AND RESPONSIBILITIES: Office of the President & Chief Executive Officer: Completes a broad variety of administrative tasks for the President & CEO including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings. Plans, coordinates and ensures the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office. Provides a bridge for smooth communication between the President's office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior management staff. Works closely and effectively with the CEO to keep him/her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the President updated. Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. Expense report preparation, calendar management making travel arrangements, correspondence management, planning and organizing meetings and conferences, preparation of presentations as well as screen phone calls and/or visitors. Organizes and maintains correspondence and records, following up on pending matters with limited direction. Assists in coordinating the agenda of senior management team meetings and off-sites, and all- staff meetings Routes or answers routine correspondence not requiring supervisor's attention. Drafts correspondence for executives' final approval. Prepares special reports, gathering, summarizing and analyzing data. Organizes and prepares complex documents requiring the integration of multiple office technology and software applications. Tact, diplomacy and discretion are key attributes to be effective in the position. Ability to juggle multiple priorities, monitor status and progress against multiple ongoing projects. Confident, self-motivated, thrive in a fast-paced corporate atmosphere and remain calm under pressure. Ability to take ownership of projects and see them through to completion. Must be flexible and able to work longer hours on occasion when projects dictate. Must be a self-starter and work well under pressure and changing priorities. COMPUTER EQUIPMENT AND SOFTWARE REQUIREMENTS: Proficiency in Microsoft Office (Outlook, word, Excel, and PowerPoint), Adobe, Visio EDUCATION AND EXPERIENCE REQUIREMENTS: High School Diploma, Bachelor's degree a plus. 5+ years' experience as an Executive Assistant required. Established credibility in dealing appropriately with sensitive and confidential situations. Proven organizational skills and ability to manage a fast-paced office is essential.
